Part-Time Bookkeeper/Administrative Secretary
The Cranbury Public Library is looking for a part-time Bookkeeper/Administrative Secretary to join our team. The ideal candidate has experience as a bookkeeper and confidence working in the QuickBooks software environment. The Bookkeeper/Administrative Secretary will work closely with the Library Director and Library Board of Trustees Treasurer to maintain the financial records of the Library.
Under the guidance of, and in consultation with, the Library Director, the candidate’s responsibilities include but are not limited to, accounts payable, account reconciliations, petty cash management, and creating and maintaining accurate financial reports and statistics for the Library. The candidate must be able to work independently, communicate effectively with the Library Director and Library team, and have proficiency in QuickBooks.
Duties
- Processes invoices and records accurate figures and statements for payment
- Prepares checks
- Reconciles accounts
- Enters and maintains record of income and expenses in QuickBooks
- Resolves vendor payment issues
- Prepares monthly Treasurer’s Reports for Library Board of Trustees’ meetings and other financial and statistical reports for the Library Director or Library Board of Trustees as needed
- Makes bank deposits of monies collected at the Library
- Oversees the budget in close consultation with the Library Director
- Coordinates with all Departments to ensure library supplies that are needed are selected, ordered, received, and paid for on time
- Works with outside firm and Library Director on annual audit
- Maintains meeting minutes for Board of Trustees monthly meetings (Meetings occur the 2nd Thursday of every month at 7pm).
- Assists in the reporting of the annual NJ Per Capita State Aid Application and NJ State Library Construction Bond Grant, and other financial reporting requirements as needed
- Serves as Notary Public, or has a willingness to become one
- Other duties as assigned
Skills
- Knowledge of responsible bookkeeping and accounting principles
- Working knowledge of QuickBooks, Microsoft Word, Microsoft Excel, Adobe PDF, and email
- Strong attention to detail
- Ability to work independently
- Ability to meet deadlines
- Ability to communicate effectively
Start Date: Immediately
Schedule: Flexible
Compensation: Flat rate of $300/month
